Creating “The Vibe” for your Event

You are having an event! You found your venue, and you decided on a date. What’s next? Well, for me, this is the fun part. This is when we set “The Vibe” think décor, what feeling do you want your guests to have? What is the purpose of this event? Do you have an ambiance in mind? Those are the first steps to distinguishing the vibe and essence of your event. My name is Stephanie Diaz and I am the event manager at Biscayne Lady Yacht Charters. I have been with the organization for over 10 years and am excited to share with you what I think creates a great event. This is the time to bring out those Pinterest boards, scroll through social media, and roll out those screenshots you have been saving. I always encourage my clients to share these images with me so I can get a feeling for their event inspiration. The keyword here is inspiration. Are you admiring a centerpiece, lighting, tablescape, entertainment, etc.? These are all elements of your event that your coordinator can guide you through. Keep in mind, this is your event, and we can customize it for you. Something to remember during this time, is that these are photos for inspiration. Many of these photos have been edited or set up for an editorial purpose. They are not necessarily the most practical for every event, and that’s okay. This is all you need, to create the perfect event with YOUR unique twist. One of the things I like to do during the next step is determine the flow of the event. What is the flow? When the guests come to your event, where will they go, what will they see, smell, or feel? We love to give guests a great first impression! At Biscayne Lady Yacht Charters when your guests are about to board the yacht, they are greeted with a red carpet. This makes them feel welcome. This says luxury! They are then welcomed by a smiling face and guided to get a glass of champagne, or welcome drink to get the party started. If you are hosting a Mexican Fiesta, then Margaritas are the perfect greeting drink. As we welcome them upstairs, they smell the ocean breeze; they hear the ocean. This sets the mood. Your guests are now taking in the elements and feeling relaxed. They get upstairs and what do they see; beautiful café lights hanging over them, they take in the surrounding views, and they hear the music playing. Creating the atmosphere, we specifically designed for them. They are then immersed, and the mood is set. Shortly thereafter, we start passing some beautifully presented hors d’ oeuvres. Once again, tying in our theme, and making your guests feel like you’ve thought of every detail. Your guests will be mixing and mingling, ready for whatever is about to happen next. For many of our events, this is the highlight. After a long week of conferences and meetings our guests are simply here to relax and unwind. For some this could be the start of a grand event like a wedding or special birthday. Another thing we love to do is tie your menu to your event theme. “Havana Nights” is one of the most popular event styles in Miami. To us “Havana Nights” means Mojitos, a Latin Jazz Band, a Cigar Roller, and one of our Cuban inspired menus with grilled skirt steak, chimichurri and sweet fried plantains. Speaking of dinner, the dining room is a great place to bring your event inspiration to life! From lighting to your tablescape, this is the perfect place to add your special touch. For a corporate event this could mean we do centerpieces or a napkin in your company color. For a wedding this can mean specialty linen, custom centerpieces, and a dressed up sweetheart table. The key here is to remember that no event is the same, every event is different, and most importantly this is your event. Event Planning 101: Tips & Tricks to Plan the Perfect Event

There’s always so much work that goes into planning an event. But with a few tips and tricks you’ll get though it like a pro. Through our experience of planning many events, here are some points that we stick to for a perfect event planning journey. First, give yourself plenty of time. If you have decided to have the event, start right away. The more you get done now, with no hurry, the more things will come out right and you will be able to deal with those unexpected surprises that are bound to come up in a less stressful state. And even though you have plenty of time, organization is key. Make that list, make sure everything is in order of priority and also make a smaller task list that you can tackle in your down times that won’t take away from the moments where you are dealing with more important items. Setting your goals for this event will help prioritizing your tasks. It’s important to make sure that your goals are very specific, detailed and realistic. The last thing you want to do is get demotivated because you’re not making your deadlines. Be generous with yourself and set realistic timelines. Focusing on one item at a time is one of the best things you can do. If you deal with one task at a time, you will know that you did it right the first time and not have to worry about it after. Multitasking is a pretty word but things are just not guaranteed that way and when you are planning an event, you want to make sure you didn’t deliver the cake to your home address by mistake! Focus. This goes for your team as well. Delegating allows you not to have to carry the world on your shoulders. I know that no one can do it better than you, but the truth is that as long as the communication is clear, the outcome can be not only what was expected, but sometimes even above and beyond. Work with your team. Another big part of a successful event is making sure to work with vendors and suppliers that you trust. If you don’t know them, it’s very important to get references and make sure that they are reliable. The last thing you want is for all your efforts to go down the drain because a vendor didn’t come through. However, no matter how prepared you are, there will be things that pop up unexpectedly but if you follow the advice in this blog you will be in the best possible state to deal with it calmly. Now, the absolute, most important tip – you need to take care of yourself. Events sometimes can get very stressful and demanding. Make sure to exercise, eat right and get enough sleep because this will reduce stress levels and will just make you a happier person all around. And happy people make happy events.

This is something to celebrate!

A graduation is an honor, something to be proud of. This type of celebration would be one or two times in their life (depending on the college and post-grad plans) Family and friends should give the graduates the credit they deserve as this will be one of the major and proudest accomplishments in their lives Going throughout the academic years it’s challenging, stressful, and demanding. All those days waking up early to get to class on time, all those nights staying up late studying for tests or writing papers, all those exciting times getting the high score needed on tests and papers. It was tough, but they know it was all worth the work.

The Graduates

It is estimated that for the 2019-2020 academic year, there will be a total of 3,898,000 college graduates in the United States and about 3.3 million students were projected to graduate in the school year. Congratulations to all of them! This is such a big deal. Wearing that cap and gown and receiving the diploma is actually the most epic milestone of them all. A diploma is not just a piece of paper, it proves all the effort, dedication and discipline that led to accomplish a goal. This augurs well for their future, in a few years they will be working their way up the corporate ladder, as entrepreneurs, some will start their own business, others will be teachers, doctors, engineers, and more. Graduations & Coronavirus? High School and College students throughout the United States are feeling saddened after several universities and schools have canceled or postponed spring graduation ceremonies because of Coronavirus. Celebrate!! Celebrate!! Planning a graduation celebration would keep the graduate, parents, family and friends to stay optimistic, excited, and hopeful about their careers, future, and life in general. For example start with collecting all photographs that documented significant events, such as: sports events, first day of class, adventures with close friends, etc. These can be shared on a screen or collage at the party, choose the venue, theme, music, and enhancements for the party. For a spring celebration, outdoor parties are especially fun. Informal cookouts and pool parties are family-friendly activities that everyone can enjoy. Commencement ceremonies could be delayed due to the current situation and students probably won’t have their celebrations in spring however they can have an outdoor/indoor celebration about one of our yachts at any time of the year – Miami Style. After all they didn’t have their spring break in Miami but can celebrate their dream graduation party in the Magic City.

We’re All In This Together | An Optimistic Outlook on Coronavirus

We're All In This Together

We have all heard the expression lately “We’re all in the same boat together”. Well this time the name of the boat is “Planet Earth”. As the sailors on the old sailing ships we could see a storm coming but we did not realize it would be the equivalent of a hurricane and tsunami hitting our ship at the same time. We have taken the hit but because of the crew onboard “Planet Earth” we will make it through this storm. The brilliant scientist, medical professionals and first responders are working tirelessly to find solutions and assist those in need. The workers in all of those “essential businesses” who continue to work to provide us with basics of life. The teachers and students who are finding new ways to teach and learn. The manufactures creating the vital products needed and the truck drivers moving those products. The entertainers and artists who are providing free access to their talents to help keep us all sane. There are thousands and thousands of people doing everything they can to help. There are even those of us who can assist by simply staying home so we don’t risk catching or spreading this virus further. And that is where we at Biscayne Lady Yacht Charters are right now. We are in fun business of showing off our beautiful city and Biscayne Bay to all of the hundreds of thousands of people who visit Miami every year and the local residents who love to see their own city from the water. Miami is virtually empty of visitors right now and the residents are under “Stay at Home” orders. We will come out the other side of this storm that Planet Earth is experiencing but it will take some time. We hope you will all have a chance to join us on one of our many “boats” for food, drinks, entertainment and beautiful views when the storm has passed.
